Terms of participation (2025)

1. Registration & Payment

  • Registration is confirmed only after full payment is received.
  • An invoice including Belgian VAT will be issued upon registration.
  • Payment must be completed within 10 days of registration.
  • Full payment is required to confirm attendance.
  • Late or missing payments may result in cancelled registration or denied entry.

2. Cancellation & Refund Policy

If you can no longer attend, you may cancel and request a partial refund:
If you need to cancel your ticket, the following refund terms apply:
✅ Cancel by August 29, 2025 (23:59 CEST)
→ You’ll receive a 90% refund
✅ Cancel by September 12, 2025 (23:59 CEST)
→ You’ll receive a 50% refund
❌ Cancel after September 13, 2025
→ No refund will be issued

  • Cancellation requests must be submitted in writing.
  • Refunds are processed to the original payment method.
  • No-shows are not eligible for refunds.

3. Ticket Transfers (Substitutions)

  • You may transfer your ticket to another person until September 30, 2025 (23:59 CEST).
  • Requests must be submitted in writing and include the name and email of the replacement attendee.
  • Only one action is allowed per ticket: either a refund or a substitution, not both.

4. Badges & Access

  • Badges are personal and non-transferable.
  • Lost badges will not be reissued. Entry without a valid badge is not permitted.
  • Badge sharing is prohibited and may result in ejection from the event.

5. Schedule & Program Changes

  • We reserve the right to modify the schedule, sessions, or speaker lineup at any time.
  • If the event is cancelled, you will receive a full refund of the registration fee.
  • We are not responsible for costs related to travel, accommodation, or indirect damages.

6. Force Majeure

  • In the event of circumstances beyond our control (e.g. natural disaster, pandemic, government restrictions), we may cancel or reschedule the event without additional liability beyond ticket refunds.

7. Code of Conduct

  • All participants must follow our Code of Conduct.
  • Violations may result in removal from the event without refund.

8. Photos, Video & Media Consent

  • Devoxx may record or photograph the event. Attendance implies consent for promotional use.
  • If you wish to opt out, please inform our staff at check-in and wear the designated opt-out badge.

9. Privacy, QR Scanning & Data Use

  • Your badge includes a QR code that may be scanned by sponsors. Scanning is voluntary and shares your contact info with that sponsor.
  • Wi-Fi data may be collected and anonymized to improve event logistics.

10. Limitation of Liability

  • Our liability is limited to the amount paid for your registration.
  • We are not responsible for indirect damages, personal injury, or lost property.
  • We recommend attendees purchase personal travel and health insurance.
